Press Office Guidelines for Exhibitors and Sponsors
The Alzheimer’s Association does not share its press list.
Press Office
The 2007 Prevention Conference press office and news briefings are
open only to members of the working press. Exhibitor and sponsor
staff and representatives are not allowed in the Press Office. As
a courtesy to news media representatives, the 2007 Prevention Conference
strongly discourages these individuals from standing outside the
Press Office and Press Briefing Room in an effort to meet with news
media. Quiet areas will be available for exhibitor representatives
accompanied by registered journalists to conduct interviews. Press
Office staff will help schedule use of these spaces.
News releases
As a convenience for journalists, news releases from exhibitors
and sponsors related to science being presented at the 2007 Prevention
Conference will be displayed in a designated area of the Press Office.
Only news materials related to science being presented at the 2007
Prevention Conference will be accepted – no promotional material
nor background material, and no press kits. The Alzheimer’s
Association does not endorse news materials from exhibitors and
sponsors.
The Alzheimer’s Association must approve all exhibitor/sponsor
media materials before they are displayed at the 2007 Prevention
Conference. The Association reserves the right to disapprove the
materials for any reason.
All research to be presented at the 2007 Prevention Conference
is to be embargoed for publication and broadcast until the date
and time of presentation, unless the Alzheimer’s Association
provides written notice of change of date/time in advance.
News releases must state that the data “was presented at
the 2nd Alzheimer’s Association International Conference on
Prevention of Dementia.” First references to the “2nd
Alzheimer’s Association International Conference on Prevention
of Dementia” in all news materials must use that full name;
“the 2007 Prevention Conference” is acceptable on subsequent
references. In addition, all references in news materials to the
Alzheimer’s Association must use this full name; there are
no acceptable shortened forms or acronyms.
Approval process
Prior to Monday, May 28, 2007, a review copy of all exhibitor/sponsor
media materials must be sent to Public Relations Department, Alzheimer’s
Association, 225 N. Michigan Avenue, 17th Floor, Chicago, IL 60601;
e-mail – media@alz.org (hyperlink to email address); fax –
866-889-8478. Materials not received by May 28, 2007 will
not be displayed at the 2007 Prevention Conference.
Up to 100 copies of accepted press materials can be dropped off
to a staff person at the Press Office during regular hours of operation.
Press Office staff will not make copies of press materials.
News briefings
2007 Prevention Conference News Briefings
Two representatives from an exhibitor/sponsor (or their consultants)
may attend a news briefing at which science they have funded is
presented. Additional exhibitor/sponsor representatives may be allowed
to attend the briefing as space allows, at the discretion of Alzheimer’s
Association Press Office staff.
Non-2007 Prevention Conference News Events
The 2007 Prevention Conference prohibits all news events, including
news conferences, news briefings, webcasts and media receptions,
both onsite at the 2007 Prevention Conference and offsite in Washington,
D.C., during the hours of operation of the 2007 Prevention Conference
Press Office.
