General Summary

The mission of the Alzheimer's Association is to eliminate Alzheimer's disease through the advancement of research; to provide and enhance care and support for all affected; and to reduce the risk of dementia through the promotion of brain health.  Our vision is a world without Alzheimer's disease.  The Michigan Great Lakes Chapter serves 23 counties in Michigan and is headquartered in Ann Arbor, MI.

The Administrative Assistant will have excellent customer service skills often be the first person constituents have contact with whether on the phone or upon arrival to the chapter office.  He/She will support all departments of the chapter through general administrative support including but not limited to data entry, report generation, coordination of mailings and other constituent materials and will provide logistical support to chapter events in the community including fundraising events and programs.  He/She will also coordinate office volunteers to support the chapter activities.  

This position will be located in Ann Arbor, MI and reports to the Operations Manager

Essential Job Functions

General Office/ Administrative Support and Volunteer Program Support

  • Provide receptionist duties including answering multi-line phone and transferring calls to appropriate employee or office
  • Receive and distribute incoming mail.  Prepare outgoing mail and packages for shipping
  • Provide administrative support to assigned employees by scheduling appointments, sending faxes, copying, making meeting arrangements, preparing meeting materials and summaries, making travel arrangements, and other tasks as requested
  • Maintain accurate paper and electronic files
  • Coordinate the recruitment and manage office volunteers for the Ann Arbor and regional office.
  • Prepare, complete and file all volunteer paperwork.  Serve as the lead staff on the phone system
  • Referring callers as needed to the 24/7 Helpline
  • Maintaining inventory and ordering of office supplies
  • Assisting with preparation and logistics for meetings and Chapter events including but not limited to board meetings, Walks to End Alzheimer's, education programs, etc.
  • Support recruitment, coordination and annual appreciation/recognition of Chapter volunteers including the coordination of the chapter's annual volunteer recognition events
  • Facilitate background checks for all volunteers and facilitators according to National policy
  • Maintaining volunteer job listings on external websites such as Volunteermatch
  • Assist Operations Manager in the coordination of copying, acknowledgement, logging and mailing of deposits to outside vendor or National office for all events, general donations, memorials, grants, etc.
  • Update national donor services with returned mail/address changes/donor requests
  • Become proficient in CRM systems including Convio and Personify for support through data entry and report generation for development, programs and public policy departments

Minimum Requirements

  • Associate's Degree required. Bachelor's Degree preferred.
  • Two years of experience as an administrative assistant, secretary, office manager or similar position.
  • Excellent interpersonal, customer relations and communication skills.
  • Proficient with Microsoft Office and Google applications. 
  • Proficient with constituent database management programs and accurate data entry skills.
  • Must be self-directed and self-motivated; able to work with or without detailed instructions and without close supervision.
  • Respond to inquiries and problems in a timely and professional manner.
  • Ability to recognize and set priorities, follow through on requests, projects, meet deadlines and multi-task.
  • Ability to analyze data and present in written and verbal form.
  • Ability to lift and move up to 50 lb.
  • Occasional evenings and weekend hours may be needed for chapter event support.
  • Must possess valid driver's license, good driving record, access to reliable vehicle and proof of automobile insurance.
