The Administrative Assistant will support all departments of the chapter through general administrative support including, but not limited to, data entry, report generation, coordination of mailings and other constituent materials and providing logistical support to chapter events in the community.

Essential Job Functions

  • Provide receptionist duties including answering multi-line phone and transferring calls to appropriate employee or office.
  • Greet and assist visitors.
  • Receive and distribute incoming mail.  Prepare outgoing mail and packages for shipping.
  • Provide administrative support to office staff by scheduling appointments, copying, making meeting arrangements, preparing meeting materials and summaries, making travel arrangements, and other tasks as requested.
  • Maintain accurate paper and electronic files.
  • Maintain inventory and ordering of office supplies.
  • Assist with preparation and logistics for meetings and Chapter events.

Minimum Requirements

  • A high school diploma or equivalency
  • One year of experience providing administrative support
  • Proficiency with Microsoft Office and database management
  • Proficiency with Google applications for email, calendar, Drive and contacts
  • Ability to multitask, prioritize and meet deadlines
  • Ability to work with attention to detail and accuracy
  • Excellent communication and customer service skills
  • Ability to work independently
  • Ability to lift and move up to 50 lbs.
  • Ability to communicate effectively with people of diverse backgrounds and ages
  • Ability to coordinate multiple tasks simultaneously and work with frequent interruptions
  • Access to a reliable vehicle, a valid driver's license and proof of insurance
